The successful candidate will be responsible for managing projects from briefing through to execution and post-event evaluation, ensuring all deliverables are aligned to client objectives, budgets, timelines, and operational requirements.
This role requires a strong balance between project management, client service, operational coordination, supplier management, and execution oversight within a fast-paced agency environment. The ideal candidate must be proactive, solutions-driven, calm under pressure, and capable of managing multiple moving parts while maintaining exceptional attention to detail and communication.
Key responsibilities:
- Manage end-to-end planning, coordination, execution, and reporting of experiential campaigns, activations, and live events
- Coordinate internal teams, suppliers, production partners, and external stakeholders to ensure smooth project delivery and execution
- Build and maintain strong client relationships through proactive communication, updates, and professional account management
- Develop and manage project timelines, activity plans, production schedules, budgets, status reports, and operational workflows
- Ensure all projects are delivered on time, within scope, within budget, and aligned to client objectives and brand strategy
- Manage project workflows, approvals, deliverables, and operational follow-through across multiple client accounts simultaneously
- Monitor project progress and proactively identify risks, delays, gaps, or operational bottlenecks, implementing solutions where required
- Track budgets, scope of work documentation, quotations, reconciliations, supplier costs, and internal forecasting requirements
- Collaborate closely with creative, strategy, digital, and production teams to ensure alignment, continuity, and successful campaign delivery
- Support on-site execution and management of events, activations, and experiential campaigns where required
- Compile post-campaign evaluations, reporting, learnings, and client feedback analysis
- Stay informed on experiential marketing, advertising, consumer engagement, and industry trends
- Diploma or qualification in marketing, events management, communications, project management, or related field
- Minimum 3 years’ experience in experiential marketing, brand activations, events, or agency project management
- Previous advertising agency experience essential
- Strong project management, organisational, and coordination skills
- Ability to manage multiple projects, stakeholders, and fast-moving timelines simultaneously
- Strong administrative, budgeting, reporting, and operational planning abilities
- Excellent verbal and written communication skills
- Strong client service and relationship management capabilities
- Proactive, adaptable, solutions-oriented, and calm under pressure
- Excellent attention to detail and ability to manage operational complexity effectively
- Strong negotiation and supplier management skills
- Effective team coordination and collaboration capabilities
- Proficient in Microsoft Office (Excel, PowerPoint, Word)
- Valid driver’s licence and willingness to travel frequently
